1. Who we are
AgenTech Recruiting LLC (doing business as AgenTech Recruiting, “AgenTech,” “we,” “us”) is a US-based tech recruiting agency operating at agentechrecruiting.com. AgenTech Recruiting LLC is the controller of personal data collected through this site and our recruiting workflows.
Our data protection contact is privacy@agentechrecruiting.com. General questions can still go to hello@agentechrecruiting.com.
2. What we collect
We collect the information you give us directly when you submit a profile, contact us, book a call, or correspond with us. This includes your name, email address, phone number (if provided), LinkedIn profile, resume and the data parsed from it, target roles, geographic preferences, salary expectations, and the substance of our conversations with you.
For client (employer) users, we collect the contact information of individual hiring managers and the role-related information you share with us during scoping calls and intake conversations.
We also automatically collect a small amount of technical data when you interact with our site or APIs — IP address, user agent string, request timestamp, and request counts per endpoint. We use this strictly for abuse prevention, automated rate-limiting, and debugging. We do not build advertising or behavioral profiles from it, and we do not share it with third parties except the infrastructure providers listed in the sub-processor table below.
We do not knowingly collect information from anyone under 18. If you believe a minor has submitted information, contact us and we will delete it.
3. How we use it
- To match candidates to roles and present qualified candidates to prospective employers (only with the candidate's consent for each specific introduction).
- To communicate with you about active or potential opportunities, status updates, and follow-ups related to a search you're part of.
- To operate, improve, and secure our services — including parsing resumes, generating shortlists, and managing our internal workflows.
- To prepare internal founder-review digests and notifications that summarize candidate and client activity so Nick and Elissa can review matches and follow up personally.
- To meet legal, tax, or regulatory obligations applicable to a US recruiting agency.
4. AI processing
Some operations on this site are powered by AI agents we built. In particular, resumes you upload may be parsed using a third-party large-language-model API (currently Anthropic's Claude API) running on our server. The output is stored in our systems and used to support matching and outreach.
We do not use your data to train any third-party model. Anthropic does not retain your data for training under our agreement with them. We also do not auto-send any outbound messages to candidates or clients on our behalf — agents draft, humans approve.
5. Voice calls, recording, and transcription
We make outbound voice calls through CloudTalk to discuss specific opportunities with candidates and to coordinate with clients. These calls may be recorded and transcribed so we can keep accurate notes, improve our service, and support the candidate or client workflow. Recordings and transcripts are stored in our systems alongside the rest of the engagement record.
Warm-only. We do not cold-call candidates. A voice call from us is only placed after a candidate has affirmatively replied yes to an email outreach (or otherwise booked a call with us). If you have not engaged with us by email or a booking link first, you will not receive a call from our voice agent.
Recording notice and consent.Several US states are “two-party” (or “all-party”) consent jurisdictions for recording phone calls — including California, Florida, Illinois, Maryland, Massachusetts, Montana, Nevada, New Hampshire, Pennsylvania, and Washington. If you are in one of those states (or if we believe you may be), you will hear a recording disclosure at the start of the call and have the opportunity to decline. Continuing the conversation after the disclosure constitutes consent to recording for the remainder of that call. You can ask us to stop recording, delete a recording, or delete a transcript at any time by emailing hello@agentechrecruiting.com.
6. How we share it
We share your information only as follows:
- With prospective employers, only when you have given us specific consent for that introduction. We never blast your profile to a client without you having said yes to that specific role.
- With service providers who help us operate (cloud hosting, database, email delivery, outbound sequencing, analytics, AI processing). These providers are contractually bound to use your data only to deliver services to us.
- When required by law, subpoena, or to protect our rights, safety, or property.
- In connection with a merger, acquisition, or sale of substantially all of our assets — in which case we will give you notice before your information is transferred.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
7. Sub-processors
The following third-party providers process personal data on our behalf to deliver the service. Each is bound by a data-processing agreement and is permitted to use the data only for the purposes described. We'll update this list when it changes.

|---|---|---|---|---|
| Anthropic | LLM inference (resume parsing, drafting, matching) | Resume text, profile fields, prompts and conversation context | United States | DPA; no training on customer data |

8. Retention
We keep candidate profile data for as long as you remain interested in being considered for opportunities — typically 24 months from your last engagement with us. After that, we will either ask you to confirm continued interest or delete your profile data.
We keep records of placements and client interactions for as long as required for tax, legal, and audit purposes (typically 7 years following the relevant transaction).
Account-deletion requests remove personal data from our live application systems within the timelines above. Encrypted infrastructure backups and error-monitoring events may retain redacted or historical copies until their normal retention window expires; we do not use those copies operationally, and we restrict access to recovery, security, and legal need-to-know purposes.
9. Your rights
You can request access to, correction of, or deletion of your personal information at any time by emailing us at hello@agentechrecruiting.com. Deletion is one click on our end for live application data — we'll confirm and complete it within five business days, subject to the backup, security-log, and legal-retention limits described above.
California residents (CCPA / CPRA).You have the right to know what personal information we've collected, to request deletion, to opt out of any “sale” or “sharing” (we do neither), and to non-discrimination for exercising these rights. Submit a request to hello@agentechrecruiting.com and we will verify your identity before responding.
EU / UK / EEA residents (GDPR and UK GDPR). If the GDPR or UK GDPR applies to our processing of your data, the following also applies.
Legal basis. We process personal data on one of the following bases:
- Consent— for sending you marketing emails, presenting your profile to a specific employer, and recording voice calls. Consent can be withdrawn at any time without affecting the lawfulness of prior processing.
- Contract— to perform the recruiting services you've engaged us for (matching, introductions, placement administration).
- Legitimate interest— for operating the site securely, preventing fraud and abuse, applying rate limits, measuring aggregate site traffic with cookieless analytics, conducting targeted recruiting outreach where permitted by law, and maintaining business records, balanced against your rights and freedoms.
- Legal obligation— to comply with tax, accounting, and other statutory record-keeping obligations.
Your rights. Subject to applicable conditions and exceptions, you have the right to:
- Access— obtain confirmation of and a copy of the personal data we hold about you.
- Rectification— correct inaccurate or incomplete data.
- Erasure (“right to be forgotten”)— ask us to delete your personal data where one of the GDPR grounds applies.
- Restriction— ask us to pause processing while a dispute or request is resolved.
- Portability— receive your data in a structured, machine-readable format and have it transmitted to another controller where technically feasible.
- Objection— object to processing based on legitimate interest or direct marketing.
- Automated decision-making— not be subject to a decision based solely on automated processing that produces legal or similarly significant effects. We do not make solely-automated hiring decisions: a human reviews every shortlist before it's shared with a client, and every outbound message before it's sent. This human-review gate is part of our engineering checklist for any new outbound or shortlist-delivery surface.
To exercise any of these rights, email hello@agentechrecruiting.com. We may ask for information to verify your identity. You also have the right to lodge a complaint with your local data protection supervisory authority — in the EU that's the authority for the country where you live, work, or believe the infringement occurred; in the UK that's the Information Commissioner's Office (ICO).
International transfers.Because we're US-based, transferring your data from the EU/UK to the US is generally required to provide the service. We rely on the European Commission's Standard Contractual Clauses (SCCs) — and the UK Addendum where relevant — with our sub-processors, supplemented by the technical and organizational measures described in this policy. Where a sub-processor is certified under the EU–US Data Privacy Framework, we additionally rely on that certification.
10. Security
We use industry-standard technical and organizational safeguards — encryption in transit, scoped access controls, audit logs, and least-privilege credentials — to protect your data. No method of transmission or storage is perfectly secure, but we work to reduce risk meaningfully.
11. Cookies and analytics
We use strictly necessary first-party cookies for authentication, session refresh, security, and abuse prevention where those features apply. These cookies are required for logged-in account areas and are not used for advertising.
We use a privacy-respecting analytics tool (Plausible) that does not set cookies. Plausible processes connection metadata, including IP address, transiently to create aggregate daily statistics; we rely on legitimate interest for this low-impact analytics processing.
We do not use third-party advertising trackers on this site. Outbound recruiting emails may include Smartlead engagement pixels or link metadata so we can measure whether a message was opened, replied to, or unsubscribed from; those signals are used only for recruiting workflow and suppression-list management.
12. International transfers
We are based in the United States, and your information is processed here. If you are submitting information from outside the US, you consent to the transfer of your data to the US for processing as described in this policy.
13. Changes to this policy
We'll post material changes here and update the “Last updated” date. For significant changes, we'll also email active candidates and clients.
14. Contact
